You need to add at least one support category to a service agreement. Categories reflect the NDIS support categories in the client's plan, and they determine which services and line items can be added under them.
-
Create a NDIS Service agreement (in Draft status)
- Navigate to your service agreement. To find a service agreement:
- Go to a client's record and click on the Funding tab. Service agreements are listed under Individual Service Agreements or Block Service Agreements, depending on the type of funding. Click on the View link for the agreement, or
- Click on the Service Agreements tab and use the filters to locate the agreement.
- Scroll down to the Service Agreement Items section.
- Click on the New Category button.
This will launch a Add Support Category form. The form includes mandatory and dynamic fields. Fields marked with an asterisk are mandatory and must be completed when they appear. Some fields only appear based on other selections, the type of service agreement or settings in your environment.
The following table explains each field and how to use it.
| Field | Purpose and use |
|---|---|
| Support Category |
Select the relevant NDIS support category for this client — for example, Improved Daily Living. The category you choose here determines which services line items can be added later, so make sure it matches what's been funded in the client's plan. If the PACE Plan checkbox is ticked on an NDIS service agreement, this will filter the options to PACE categories. If it is unticked, it will filter to non-PACE categories. |
| Restrict delivery to Service Line Item |
This checkbox controls how tightly services are controlled under this category.
Consider how much oversight your organisation needs at this level before deciding. |
| Prevent NDIS Rates Substitution |
When the NDIA releases updated rates, NDIS rate substitution means SD records generated from this agreement will apply the new (usually higher) rates automatically. This can cause a client's allocation to be used sooner than expected.
|
| * Funding Management |
Select who you will claim funding from, for this category. Lumary defaults to match the Funding Management set at the agreement level. In most cases you won't need to change this. If a specific category is managed differently — for example, one category is NDIA-managed — you can override it here. Some selections will open an additional mandatory field. The same options apply as at the agreement level: NDIA, Participant, Participant's Nominee, or Registered Plan Manager Provider. Your selection here affects whether Lumary generates claims or invoices for services in this category.
|
| Service Booking |
If the agreement is for a PACE plan, skip this field. If the service is related to an NDIA service booking, you can use this field to link to a record of the booking number and its dates. You can record a new service booking by selecting the + New Service Booking option. |
| *Support Category Amount | The dollar amount allocated to this category within the client's plan — for example, $15,000 for Daily Activities. This field is required if you want overclaim controls to apply at the category level. It's good practice to complete this for every category to keep funding tracking accurate. |
| Funding Period Length |
Applies to NDIS PACE Plan agreements only. Select the length of the funding period for this category according to the client's plan — for example, 3 months. This setting determines how funding periods are generated for the category. For standard NDIS agreements, leave this set to None. |
| Add Travel and Transport (button) |
For NDIS agreements, you may see an Add Travel and Transport button. This allows you to record the amounts the client has agreed to allocate to provider travel and activity based transport within this specific category. Click the button to reveal the Provider Travel Allocation and Activity Based Transport Allocation fields. Note that these fields are only available for categories where travel or transport applies. These allocations are visible on the category summary and help with tracking, but they don't carry the same overclaim restrictions as the main Support Category Amount. |
| Additional Information -Send Category Service Booking Request (checkbox) |
If the agreement is for a PACE plan, skip this field. If your Lumary environment is configured to integrate with the NDIA portal, ticking this will trigger a service booking request for this category when the agreement is progressed. Whether this applies to your organisation depends on your system setup. If you're unsure, check with your system administrator before ticking this — or leave it unticked. |
- Click Save.
Once you've added a category to your service agreement, you can add service agreement items. If Restrict delivery to Service Line Item is ticked, you'll need to add a service agreement item to the category to be able to claim services. If you're only using unrestricted categories for NDIS, individual or other type agreements, you can skip ahead to generating a quote.
