The Amend function allows you to make changes to a current or expired service agreement without creating a brand new record. The Amend function preserves the history of the original agreement while allowing you to update key details.
This article shows you how and when to:
- amend a current service agreement
- amend an expired service agreement by reinstating the same agreement with minor date changes.
Alert: The Amend function creates a version of the amended agreement. The service agreement number doesn't change. For any other changes, use the rollover function or create an entirely new service agreement.
Amend a current service agreement
When amending a service agreement you can typically update the following:
- Add, adjust or remove support categories and support line items
- Add, adjust or remove support items, their quantities, or hours
- Add, adjust or remove allocated funding amounts and funding periods
- Modify agreement dates
- Update pricing (rates) on agreements. For NDIS service agreements, this should only be done if you have chosen to prevent NDIS rate substitution on the agreement.
To amend a current service agreement:
- Navigate to the client record by selecting Contacts in the navigation bar, then locate the client (whose service agreement you wish to amend) from the contacts list view.
- On the client record, click on the Funding tab and locate the service agreement you wish to amend. The service agreement must be current.
- Click the View button on the far right-hand side of the agreement.
- Click on the Amend button. The amend button will only be available if the agreement can be amended.
- Scroll to the Amendment Information section and provide the amendment reason. If you choose Other from the dropdown option, you will need to provide the reason in the Amendment Reason box. The amendment reason you provide will be saved and edited in the Related Records tab of the agreement under the Case Notes section. Click on the Save button.
- The service agreement will now become a draft. As a draft, you'll be able to amend the dates, funding information, consents, charges and all other optional information.

Amend an expired service agreement
You would use the Amend function on an expired service agreement when you want to reinstate the agreement. For example:
- The agreement expired, but services are still ongoing (i.e. the end date passed, but the client still has funding available and you are still providing the services).
- The agreement expired by mistake (i.e. it wasn't rolled over in time).
- If there is a short gap between agreements, amending reinstates the existing agreement instead of creating a new one.
- You need to extend the end date to cover a period when services were or will be delivered.
To amend an expired service agreement:

Navigate to the Service Agreements list view by typing 'service agreements' in the app launcher. Select Service Agreements from the results.
If you have customised your navigation bar and added Service Agreements to your navigation bar, locate Service Agreement from your navigation bar, then locate the expired service agreement you wish to amend.
- You can use the search function to locate the relevant service agreement.
- Click on the service agreement name to view the service agreement.
- Click on the Amend button. The amend button will only be available if the agreement can be amended.
- Scroll to the Amendment Information section and provide the amendment reason. If you choose Other from the dropdown option, you will need to provide the reason in the Amendment Reason box. Then Save.
- The service agreement will now become a draft. As a draft, you'll be able to amend the dates, the funding information, consents and charges and any other optional information in the additional information and reporting sections.
NOTE: The amendment reason you provide will be saved and edited in the Related records tab of the agreement under the Case Notes section.
