When creating a case note on desktop or mobile, you can write the note text by typing directly into the rich text editor, copying your previous case note as a starting point, or using voice dictation to speak your note section by section. Dictation uses your browser's built-in speech recognition.

Voice dictation uses your browser's built-in speech recognition. Make sure your browser and device have microphone access enabled before using this feature.

Typing or pasting your case note
The default when you reach the case note text screen is the rich text editor. You can type directly into the editor, or paste text you have prepared elsewhere.
The editor supports standard rich text formatting including headings, bold, italic, and lists. Your selected case note template may pre-populate the editor with section headings or example text to guide you.
Once you are happy with your note, click Next to continue to the remaining screens.
Copying your previous case note
If the selected case note template has the Enable Previous Note setting turned on, and a previous case note created by you exists for the client, a Copy Last Note button will appear on the case note text screen.
To use the previous note as a starting point:
- Click the Copy Last Note button. The content of the most recent case note you created for this client will be loaded into the rich text editor.
- Edit the copied text as needed to reflect the current session.
- Click Next to continue.
Using voice dictation
Voice dictation lets you speak your case note rather than type it. The note is structured into sections defined by your selected case note template, and you record each section separately before moving on to the next.
To dictate your case note:
- On the case note text screen, click the Dictate button. This will open the dictation view.
- The first section will be displayed. Click Skip to leave this section blank or click the Start recording button and speak clearly into your microphone. Your words will appear on screen as you speak.
- When you have finished speaking, click Stop recording. Review what was captured. You then have three options:
- Next — accept the recorded text and move on to the next section.
- Re-record — discard the current recording and record the section again from scratch.

Skip — leave this section blank and move on to the next section without recording.
- Repeat for each section until all sections are complete.
- Click Done to return to the rich text editor, where your dictated sections will appear as formatted text ready to review.

Review the indicators displayed below the case note text. The system captures the dictation duration and analyses the content of your note to flag any of the following that it detects:
- Goal Related — the note contains references to goals or outcomes.
- Irregular Support — the note contains references to unplanned or ad-hoc support.
- Behaviour Support — the note contains references to behaviour support.
- Billable — the note contains references to billable services or support coordination.
These indicators are used to remind you to complete the associated sections of the case note. You do not need to take any action on the indicators themselves.
- Make any final edits to the note text, then click Next to continue.
Dictation uses your browser's speech recognition. For best results, use a quiet environment and speak at a natural pace. If the transcription is inaccurate or you need to add more information, you can update it in the rich text editor after you finish dictating.
