Lumary DC - This article explains how to add a client's individual support requirements to a SIL submission.
Once you've added your client's funding and plan information, you can add their individual support requirements. This will be used to estimate the cost of the house roster by calculating when the client will need individual support. You can also block out times when the client will be absent from the house for things like:
- community participation (CP), or
- supported employment (SE).
This article explains how to:
- get to the Individual Support Requirements step
- copy an existing client's current roster of care, and
- add support ratio and absence blocks and make adjustments.
Get back to the Individual Support Requirements step
If you're coming back to a SIL submission process, you'll need to get to the Individual Support Requirements step. If you're already there, you can skip ahead to the copy an existing client's current roster of care step.
To get back to the Individual Support Requirements step:
- Go to the client's record.
- Click on the Accommodations tab.
- If it's not already open, click on the SIL Submissions tab.
- Click on the Submission ID text link.
- This opens the submission process. If the Individual Support Requirements step is not blue -
- Click on the Individual Support Requirements step.
- Click on the Mark as Current Submission Status button.
You should now be able to see the client's individual supports calendar.
Copy a client's existing roster of care
If you're creating a submission for an existing client, you can copy the supports from their current roster of care. You'll need to have previously completed a submission for the client.
To copy an existing roster of care:
- Click on the Copy Current Roster of Care button at the top of the record.
- This will open a Copy Current Roster of Care popup.
The system will notify you if there is no current roster.
- Click on the Confirm button to copy the roster.
- Click on the Finish button to close the popup.
Add support ratio and absence blocks
You can build a roster of care for the client by dragging blocks from the Ratios panel onto the calendar. These blocks show periods when the client requires individual support or will be away from the house.
The default size of the blocks can be set using the drop-down list at the top of the panel. For example, if most of your client's supports will require 2 hour blocks, you can use the drop-down to make this the default duration.
The ratio blocks enable you to show when the client will need individual support from one or two workers. You can show ratios of 3:1, 2:1 or 1:1. These blocks shift the budget allocation from shared supports to individual when estimating the cost of the roster.
The absence blocks let you show times when the client will be away from the house and won't require support. This reduces the shared hours for the client for that period. The blocks show absences for:
- community participation (CP)
- supported employment (SE), or
- other (Other) reasons.
Green blocks on the calendar show where the client has already been included in shifts on the base roster. These blocks cannot be modified from the Individual Support Requirements step. Hovering over a green block shows the number of shared hours the client's budget will contribute to for that period. Adding absence blocks that overlap these times will reduce the number of shared hours.
To add a ratio or absence block to the calendar:
- Click on the block and hold down your mouse button.
- Drag the block onto the calendar.
- Release the mouse button.
To change the size or placement of a block:
- stretch it by hovering over the start or end of the block until the arrows appear, then dragging the end of the block, or
- move it by clicking on the block and dragging it to a different part of the calendar.
The following animation demonstrates adding, stretching and moving a block. It does not include sound.
You can also add blocks by clicking on the rows on the calendar. This will launch a New Submission Detail form where you can add the:
- day of the week
- duration
- start time
- end time, and
- ratio or absence type.
To edit or delete a block:
- Right mouse click on the block.
- Select Edit or Delete from the popup options.
Selecting Edit will launch an Edit Submission Detail form where you can make adjustments.
Once you've added all the client's supports and absences, click on the Mark Submission Status as Complete button. The next step is to review the impact of adding the client to the house roster and confirm the roster.
