Lumary DC - This article explains how to create an NDIS extract. This is the first part of the process for managing bulk claims for NDIS funds.
NDIS extracts capture all of the service delivered (SD) records that are ready for claiming for a specified period of time. They can then be used to generate a CSV file to submit through PRODA to the NDIA for bulk claiming.
NDIS Registration Number
To create an NDIS extract, you'll need to select an NDIS Registration Number. There are two places in Lumary DC where this number can be set. The number you select will affect which SD records are included in your extract.
The NDIS Registration Number can be set for:
- a specific site on the site record. Only SD records linked to a service or program that is linked to that site will be included in the extract, or
- your whole environment in Lumary DC Settings. The extract will include all SD records linked to a service or program where the NDIS Registration Number field has been left blank on the site record.
To create an NDIS extract:
- Go to the Lumary Extracts tab.
If you can't see this tab, you may need to check under the More drop-down list or click on the App Launcher nine dot grid and search for extracts.
- Set the Extract Type to NDIS.
- This will open additional filters in the Type section that can affect which SD records are included in your extract. There are also options that affect how information displays in your extract. The following table provides a description of these filters and options.

| Site Name | Optional filter | Enables you to filter to only extract SD records for a particular site. |
| Client Name | Optional filter |
Enables you to filter for a specific client. Must match the client's name exactly as it appears in the system. |
| Service Agreement Number | Optional filter | If you know the specific service agreement's number, you can filter down to only extract SD records from that agreement. |
| Region | Optional filter | Enables you to filter against client records that are linked to the selected region. If you have issues when selecting a region, check the client record and verify that the region field has been completed correctly. If selected, this field must match the region where the service was delivered. |
| NDIS Registration Number | Mandatory | Must match the number of the entity that delivered the service. |
| Hours Column | Mandatory | Selects the column in the extract used for multiplying units. For example, a 1 hour and 30 minute session appears in Quantity as 1.5 or Hours as 1:30. If unsure, leave set to Quantity. |
- Select the Start Date and End Date for the period you want to claim.
- Click on the Create Extract button. The process may take a few seconds. An email will be sent to you once the extract is complete.
- Click on the Refresh List button. This will refresh the Previous Extracts list, which is where your new extract will appear.
- Scroll down to the Previous Extracts section and look for the new extract file.
- Click on the Extract ID text link to open your extract.
This will open your extract record. At the top of the record, the NDIS Claim Process Tracker shows you where you're up to in the claiming process. It also provides instructions about what to do next.
Once you've created your extract, you can generate your bulk upload file to submit through PRODA to the NDIA.
