This release includes improvements for award interpretation, shifts, scheduling offers, mobile, groups and high intensity needs.
Award interpretation:
Shifts:
- blocklist across shifts and assigned sessions
- shift and session completion
- display clients & alerts related to shift, and
- add comments to a shift's related sessions.
Scheduling offers:
Mobile:
Groups:
High intensity needs:
The release also includes several bug fixes and other changes.
We’ve also included updates to permission sets and permission set groups.
Award interpretation
Timesheet entries & items creation
We have improved the processing of the timesheet entries creation batch to ensure all valid and approved worker appointments (WAPs) will have successfully created timesheet entries. If a WAP has missing required values, it will be skipped in the batch job to be reprocessed once all required fields have a valid entry. Previously, a single invalid WAP would cause the entire batch of WAPs to fail processing into timesheet entries.
Shifts
Blocklist across shifts and assigned sessions
Additional logic was added on shifts to prevent blocklisted workers from being assigned against the related session’s workers and clients so that the blocklist rules are maintained across both shifts and sessions.
Shift and session completion
Desktop users can now complete shifts from the Scheduling calendar. By right-clicking on the calendar card associated with the shift, you can select Complete Shift. This allows you to adjust the actual start time, actual end time, and add any relevant comments regarding the shift. Subsequently, you will be prompted to provide these details for any sessions linked to the shift.
Display clients & alerts related to shift
We have improved the mobile shift view to provide better visibility of clients and their alerts for organisations using the shift functionality. Now, based on the shift’s supported accommodation site location, the view will display clients and their alerts according to the related site association records. This ensures more accurate and relevant information for staff during their shifts.
Add comments to a shift's related sessions
We have added the ability for mobile users to add comments to child sessions when the worker is ending their shift.
Please note, if you have the Skip Worker Appointment Autoapprovals Lumary Setting enabled, any appointment with a comment will require manual approval before being processed into timesheets.
Scheduling offers
Blocklist for scheduling offers
Previously, scheduling offers could be mistakenly sent to workers who should have been prevented due to blocklist conflicts. We have now added validation to check for blocklist conflicts on sessions with clients and other workers related to the session. Additionally, for shifts, any blocklist violations concerning the selected worker in the Send Offer screen are verified against the clients and workers of any related sessions to the shift.
Mobile
Reverted files components
We have reverted the new files component on the client page in the Lumary Mobile App to a related list, as the Files component provided too much access to related record files that a support worker wouldn’t be expected to see.
Groups
Group management
As part of this release, we are enabling the ability to view additional information about the active group members that are part of the Group Template. This includes their details like height, and age as well as any client risks or health conditions linked to them.
High intensity needs
Improved high intensity needs experience
We have made a series of enhancements to the user experience when creating a high intensity need record on the Client page.
Personalised support plans - When searching for a personal support plan associated with a high intensity need, Lumary will now display the plan type and status to help ensure that the correct record is selected. Additionally, only personal support plans with a status of Under Development, Awaiting Approval, Approved, or those that are empty will be shown.
We’ve introduced a new field called Approved Plan Attached onto the layout. This displays a green check icon when the status of the personal support plan associated with the high intensity need is Approved. Conversely, when there is no personal support plan attached or if the status is anything other than Approved, it shows a red cross.
Associated Observation Schedule - In a similar manner, when searching for an Observation Schedule in addition to its name, we’ve included the schedule type enhancing clarity and usability.
Linking health conditions - A health condition record can now be linked to a high intensity need record. When searching for a health condition, it will present both the name of the record as well as the health condition’s name, such as Asthma, to ensure the correct record is being linked.
Alerts for high intensity needs - As part of this release, we are enabling the ability to view additional information about the active group members that are part of the Group Template. This includes their details like height, and age as well as any client risks or health conditions linked to them.
Creation of contact tags - We’ve also introduced the automatic creation of contact tags. Previously, it was assumed that a high intensity need would constitute one tag, meaning that if a client requires more than one tag, this would not be reflected. To better accommodate clients with multiple high intensity need requirements, we have improved the high intensity need creation process by enabling contact tags to be automatically generated once a high intensity need gets created. These contact tags will be based on the selected high intensity name and will be displayed on the confirmation screen prior to their creation. Additionally, the process will verify any existing contact tags associated with the client to prevent the creation of duplicates.
Bug fixes and other changes
The following bug fixes and changes are also included in this release:
Calendar fixes:
We corrected an issue on the calendar to correctly display the number of leave hours being taken on the live schedule.
The client page layout has been updated to enhance usability and organization, as more features have become available.
- The Legal tab has been renamed to Preferences and Legal
- The Contact Tags list has been moved from the Support Needs tab to the Preferences & Legal tab
- A new Health & Wellbeing tab has been introduced under Support Needs, consolidating several sections that were previously under the Risks, Assessments & Plans tab. This includes:
- High Intensity Needs
- Diagnosis
- Health Conditions
- Medications
- Behaviorus of Concern
- Restrictive Practices
Mobile security fixes:
- Mobile security has been improved with the removal of global search and the external page sharing link.
- We have resolved a permission related issue with the new Observations functionality introduced as part of last release. For more details refer to the permission set updates section.
Session fixes:
We have added some additional permissions to resolve an issue where a session or shift containing a non-labour cost item could not be completed.
Services delivered fixes:
- We've resolved an issue that prevented parent SD records with associated child SD records from being selected during the Transfer SD process. This issue only affected SD records linked to unrestricted categories.
- We've resolved a bug where service delivered (SD) records were incorrectly setting Charge Centre Capital Cost to TRUE, sometimes leading to the creation of invalid centre capital costs (CCC) child SD records. CCC SD records will now only be generated when the associated service agreement, service, and site allow for CCC, and the claim type of the parent SD is Face-to-Face (i.e., blank) or Cancellation.
- Additionally, we've improved how CCC SD records are linked when multiple CCC line items exist within a service agreement’s support category. Now, CCC SD records will be correctly assigned based on the delivery date and site, ensuring they are linked to the appropriate line item.
Shift fixes:
- We have fixed an issue for organisations with Enable Shifts turned on. The associated sessions can no longer be moved outside of the shift’s start and end times.
- The DC Session page has been updated to remove the Shift tab when Enable Shifts is disabled.
User permission fixes:
- Based on user feedback, we've adjusted the visibility of award interpretation information to ensure users only see what’s relevant to their role. Thus we have adjusted the worker record page to display award interpretation related information if the person has the relevant custom permission assigned to them. This enhances the ability to manage which users can access this information and which cannot.
- We have also re-assessed the permission access provided to the out-of-the-box House Manager and Team Leader personas as based on feedback therefore we have reduced their permissions concerning award interpretation related data, ensuring that the information displayed to them is only relevant to their roles.
Xero integration improvements - For environments integrated with Xero, you can now control which NDIS extract items are sent to Xero based on their Claim Status. For example, if you want to send open claims as well as successful claims, you can add Open Claim to the new NDIS Claim Statuses for Finance Systems setting to achieve this.
