Observations
Recording Seizure observations
When recording Seizure observations:
The Sensations Experienced field has been renamed to Sensations & Physical Responses, with updated help text and additional options to better capture client experiences during seizures. Several picklist values have been relabelled for clarity, and new options such as “Change of consciousness”, “Hallucinations” and “None present” have been added.
The After Seizure field now includes a “Not known” option, as users may not always know what has occurred after a seizure.
These changes make it easier to accurately record and describe seizure events in both desktop and mobile.
Agreed Service Goals
Recording Date Achieved
When updating the status of an Agreed Service Goal to "Achieved" using the Update Status action, users will now see a mandatory Date Achieved field. This ensures that all achieved goals have an accurate completion date recorded, improving the accuracy of goal tracking in the Goals > Goal Plans section.
Behaviours of Concern and Behaviour Support Plans
Viewing current records for mobile users
The Behaviours of Concern related list in the mobile app now only displays records linked to Active Behaviour Support Plans, making it easier for frontline staff to find current and relevant information. Similarly, the related list for Behaviour Support Plans now only lists Active records.
This update reduces clutter from inactive plans and ensures users can only select current records when working in the mobile app. Inactive and pending plans, along with their related records, remain available for reporting and historical purposes on desktop.
Enhanced insights (Reports & Dashboards)
Monitor billing, claims, service agreements, and related activities with new Revenue Cycle Management reports
A new Revenue Cycle Management Reports folder has been introduced, providing a comprehensive set of reports for billing, claiming, service agreements, and related activities.
Users can now access detailed insights such as unclaimed or uninvoiced services, support coordination case notes, plan manager debtor code checks, funding management breakdowns, transport records, and service agreement utilisation.
These reports are designed to streamline financial tracking and support compliance, making it easier to monitor and manage revenue cycle processes across your organisation. .

Manage service agreements using the Service Agreement Management Dashboard
A new Service Agreement Management Dashboard is now available, providing a consolidated view of service agreement statuses, balances, and key metrics such as low balance remaining, upcoming expiring agreements, and missing debtor codes.
This dashboard streamlines monitoring and management of service agreements, helping users quickly identify agreements needing attention and supporting smoother operations. Access the dashboard in the Lumary Dashboards folder to view all relevant reports and insights in one place.

Track key workforce metrics with the new Workforce Planning reports.
A new suite of Workforce Planning reports is now available, providing enhanced visibility into sessions, worker appointments, client appointments, and roster management. These reports make it easier to track key workforce metrics such as session status, cancellations, compliance, transport, and service linkages.
Users can now access detailed insights to support operational planning and compliance, with improved filters and grouping options for more effective reporting. These updates help streamline workforce management and ensure data is organised for quick decision-making across care and disability services.

AR Management Improvements
Integration and Operationalise AR Management into Lumary DC
The AR Management feature is now enabled for Disability Care, providing access to the AR Management tab and related sub-tabs, including Home, Invoice Templates, and Settings.
Users can now generate invoices from completed sessions and various extract options, manage payments, and create credit invoices directly within the platform. These updates streamline accounts receivable processes and ensure all relevant layouts and permissions are applied for a consistent user experience.
Flexible invoice due dates using Billing Contact Payment Terms
A new setting, "Use Billing Contact Payment Term", has been added to AR Management and Lumary Settings. When enabled, invoice due dates are now calculated using the Billing Contact’s Payment Terms first, followed by the Billing Account and then the default setting. This provides greater flexibility and ensures due dates reflect your preferred payment terms hierarchy.
When the "Use Billing Contact Payment Term" is enabled / disabled, all existing Invoice Due Date will automatically update/switch to Billing Contact Payment Terms.
- Updating the ‘Use Billing Contact Payment Term’ setting does not resend reminders, because reminders are managed by a scheduled job, rather than by updates to individual records.
- However, if enabling the setting causes existing invoices’ Due Dates to change, the next run of the scheduled job will utilise the updated / new due dates to identify which invoices require reminders.
Award Interpretation
Streamline the ability for support workers to raise travel and transport-related expenses
The process for workers to claim expenses via the mobile app has been streamlined. Whether they are recording travel or transport-related expenses when ending a session, or making an ad hoc expense claim, they can request a reimbursement if they paid out-of-pocket. Both processes prompt for tax type and amount, with smart validation to prevent mistakes, and create a non-labour cost record which needs to be submitted for approval by a manager. A new scheduled job has been created to convert approved non-labour records into payroll expense records, which can be processed and reimbursed in future pay batches.
When entering a new ad hoc expense claim, workers can now see their last three submitted expenses, including date and amount. This helps prevent duplicate claims and gives confidence that nothing was missed. The worker also has the option of attaching a file to the claim.
Available with Lumary DC, the desktop utility bar now includes a Claim Expenses action which enables raising an expense claim on behalf of another worker.
Leave
View the history of field changes on leave records
The full history of changes to leave records is now visible from the leave record page, with a new Availability History section. This enhancement allows managers to easily audit and track updates to key leave details, improving transparency and record-keeping.

Rostering and Scheduling
Improved experience for capturing overtime (for leave)
We have made comprehensive improvements to the user experience for capturing overtime for leave purposes. The purpose of capturing overtime is to ensure that when a worker requests leave, the overtime hours are not counted as payable leave hours.
- Display of rostered hours: When modifying workers on a session, we now display for each worker their rostered hours, contracted hours, and full-time hours (38 when weekly, 76 when fortnightly). Rostered hours will include the hours of the current session that you may be proposing to assign to the worker.
- Flagging rostered hours over full-time hours: Traffic light colours will display on the rostered hours, contracted hours and full-time hours to indicate whether the worker is rostered over their contracted hours, as well as full-time hours.
- A Capture Overtime button will appear for workers who will exceed full-time hours. When selected, a roster planner can easily capture overtime all within the modify workers process.
Easily view the client's upcoming rostered supports
A new client-specific calendar tab is now available on the client record page, providing a clear view of each client’s upcoming appointments and sessions. This calendar includes filters for site, region, and group, and allows users to easily toggle between different date ranges. This update makes it quicker and easier for staff to answer client queries about their upcoming supports.

Bug fixes and other changes
The following bug fixes and changes are also included in this release.
General
- Case notes fix - We’ve resolved an issue where the case note rich-text input would automatically scroll to the bottom while typing, making it difficult to keep the cursor in view. Users can now type case notes on both desktop and mobile without the screen flicking away from their typing position, ensuring a smoother experience.
Behaviour Support Plans fix - Behaviour Support Plans with a blank end date now correctly display a status of Active if the start date is today or earlier, or Pending if the start date is in the future. This update ensures that the status field accurately reflects the plan’s current state, making it easier to identify active plans and improving filtering for related features.
Agreed Service Goals fix - Users can now successfully update the status, change the priority, or delete an Agreed Service Goal within a Goal Attainment Plan without encountering errors. This fix improves the reliability of goal management in client profiles.
Client cancellation fix - We have added the Planned Service field permission to the Lumary DC - Session Management permission set to address issues with client cancellations due to permissions.
Bulk Invoice Extract improvement - Users can now filter the Bulk Invoice Extract by Site, making it easier to generate extracts for specific locations. The Site field is optional and appears on the Bulk Invoice Run page, allowing you to include only service deliveries linked to the selected site.
Notional Rates improvement - You can now enable or disable the ‘Enable Notional Unit Price on Extract’ setting directly from the General tab in Lumary Settings. This self-service option makes it easier to manage notional unit pricing for financial extracts without needing to access Salesforce Setup or contact customer support.
DC Settings improvement - We have updated the DC Settings to improve ease of use. New settings have been added to Service Agreements and Service Delivery, including options to set the PACE Plan as default and create new Service Deliveries as Client/Rep Accepted. Additionally, settings for SIL Agreements have been added under Submission, including fields for SDA Monthly Item Code and SIL Weekly Item Code.
Invoice Item Rates Rounding on PDF fix - We’ve fixed an issue where invoice item rates with more than two decimal places were not being correctly rounded on the invoice PDF. Rates will now display consistently with two decimal places.
Workforce Management
Leave fix - Modifying session times for worker appointments that were cancelled due to leave no longer triggers leave conflict warnings or displays cancelled appointments.
Mobile fixes:
- The mobile app was unable to refresh the latest shift or session changes, e.g. shift extensions, until the app was closed and reopened. The fix ensures that updates are visible on tabs, such as My Upcoming Session, My Offers, and My Leave, upon pulling to refresh. This is so that frontline workers always see the most current information about their shifts and sessions. Following releases, we will be working on surfacing the latest record changes when viewing a session or shift.
- When navigating to a session on the mobile app, a support worker can view the names of other workers on the same session; however can no longer click into other workers and access their personal information. Support workers will now only be able to see their own details.
- Cancelled workers (appointments) will no longer appear when viewing a session in the mobile app. This reduces confusion in scenarios where a worker has called in sick and the replacement worker can still see the cancelled worker in the session.
Rostering and Scheduling fixes:
- The Client label and list no longer appear when hovering over a shift in the live schedule, base roster, and roster period calendars. This update ensures it is only shown for sessions where clients can be assigned.
- You can now successfully create a roster period even if one of the sessions on a base roster is owned (created) by an inactive user. This update ensures that inactive users no longer prevent roster period creation, allowing scheduling to continue without interruption. Sessions previously owned by inactive users will be reassigned to the user creating the roster period, maintaining visibility and access as usual.
- We have addressed an issue where worker appointment conflict violations on a roster period were not being correctly highlighted in the calendar. Violation details can be seen when hovering over the highlighted session.
Session fixes:
- The validation for overtime session activities has been corrected, so users can now add or update overtime records as expected, provided there are no more than two overtime activities per worker appointment.
- Cancelled worker appointments and their session activities will no longer be visible in the Modify Session Activities modal.
