This article explains how to add an observation schedule to a client's record.
Observation schedules enable workers to record observations related to a client's health condition or support needs for tracking and clinical review.

Observation types
The following observation types and readings are supported:

Additional observation types may be available in your system if they have been customised for your organisation.
The following observation schedule types allow users to capture multiple observation types:

How to add an observation schedule
To add an observation schedule:
- Go to the client's record.
- Click on the Support Needs tab.
- Click on the Observations tab.
- Click the New Schedule button.
This will open a New Observation Schedule form. The following table describes the fields in this form. Mandatory fields are marked with an asterisk. Filling in some fields reveals or activates additional options.

| * Schedule | To track observations at set times, select Specific Daily Times, or for less frequent or ad hoc observations, select General Schedule. |
| Also create Ad Hoc Schedule | Tick this option to automatically create an equivalent ad hoc schedule for the same Observation Schedule Type. This option is not available when you are already creating an ad hoc schedule. |
| * Specific Times | Tick the checkboxes next to the relevant times this observation is required to be tracked. This field will only display if you selected Specific Daily Times above. |
| * Non-Specific Times | Select a value from the picklist: Weekly, Monthly, Ad Hoc or Custom. This field will only display if you selected General Schedule above. |

| * Low | This will pre-populate with the lowest value for the normal range, based on the observation type and the client's age. This value can be overwritten if the client has a different normal range. |
| * High | This will pre-populate with the highest value for the normal range, based on the observation type and the client's age. This value can be overwritten if the client has a different normal range. |
| * Escalation Ranges | This will pre-populate with escalation guidance information for when the captured values are outside of the normal range, based on the observation type and the client's age. This information can be overwritten on the client's schedule as needed. |

| * Start Date | This will pre-populate with today's date. Select the date from which observations are to be recorded if different to today. |
| End Date | If applicable, select the date to end recording new observations against this schedule. |
- Click the Next button.
A confirmation prompt with details of the observation schedule will be displayed.
- Click the Next button to create the schedule.
The new schedule will appear as a card under the client's observation type on the Observations tab.
Filter and view observation schedules
Observation schedules are displayed on the client's Observations tab, grouped by observation type. Each type is shown as a card displaying the type name, a summary of the schedule types in use, and the most recent observation recorded.
To filter the cards by clinical category, click a filter pill at the top of the section:
- All — shows all active observation types
- Vitals — Blood Pressure, Heart Rate, Temperature, Vitals, Oxygen Saturation, Respiratory Rate, Blood Glucose
- Output — Bowel, Urine
- Intake & Feeding — Fluid Intake, Food Intake, Enteral Feeding Regime, Fluid Balance Chart
- Neurological — Seizure, Neurological Observations Chart, Head Injury
- Skin & Wound — Skin Integrity Issue, Skin Monitoring Chart, Repositioning Chart
- Other — all remaining types
By default, only active schedules are shown. To view inactive schedules, click the Show Inactive toggle.
To view all individual schedules for an observation type, click the type card. This opens a detail view showing each schedule's start and end dates, time slots, the latest observation reading, and recent observation history. From here you can edit observations using the pencil action, add a new observation or navigate to a schedule record.
Click < next to the schedule type to return to the client's overall observations view.
The maximum number of observations listed for each schedule will be based on the Last Observations List Max setting under Lumary Extended Settings in your environment.
Edit an observation schedule
To edit an observation schedule:
- Go to the client's record.
- Click on the Support Needs tab.
- Click on the Observations tab.
- Click the card for the relevant observation type.
- Locate the schedule you want to edit, click the drop-down and select Edit Schedule.

To add or edit an observation schedule if your organisation is on a version prior to Lumary DC 2.18
To add a schedule:
- Go to the client's record.
- Click on the Support Needs tab.
- Click on the Observations tab.
- Expand the Observation Schedules accordion.
- Click on the New Observation Schedule button.
To edit a schedule:
- Expand the Observation Schedules accordion.
- Expand the specific schedule.
- Click on the cog icon at the end of the row.
- Select Edit Schedule.
